Privacy policy

You are handing us the keys to an empty house. This explains exactly what we do with everything else you hand us along with them.

1. What we collect

Identity and contact details. Name, email address, telephone number, postal address, and your stated contact preferences.

Property information. Address, type, approximate value, condition, systems, service history, photographs taken during inspections, and the concerns you describe to us.

Access credentials. Keys, alarm codes, gate codes and entry procedures — held only for clients under an active agreement.

Technical data. When you use this website we record IP address, browser type, pages viewed and referring page. Our booking form also records submission timing and a reCAPTCHA assessment, both used solely to distinguish people from automated abuse.

We do not knowingly collect information from anyone under 18, and we do not collect special-category data.

2. How we use it

  • To schedule and perform the assessment and the services in your plan.
  • To produce and deliver your inspection reports.
  • To coordinate contractors and utilities on your instruction.
  • To contact you about your property, including urgently in an emergency.
  • To invoice and maintain financial records.
  • To protect our forms from automated abuse.
  • To comply with legal, tax and insurance obligations.

We do not use your information for automated decision-making that produces legal effects, and we do not build behavioural profiles for advertising.

3. Sharing

We never sell, rent or trade your personal information.

We share it only in these circumstances: with contractors you have authorised, and then only the minimum required to complete the job — typically the address and the nature of the work, never your alarm codes or travel schedule; with service providers who operate our email, hosting and payment infrastructure under contractual confidentiality obligations; with emergency services or a utility where entry is necessary to prevent imminent harm; and where compelled by law, subpoena or court order.

4. How we protect it

Access credentials are held apart from general client records: physical keys in an audited commercial lockbox system, digital codes encrypted at rest. Access is limited to your assigned property manager and the principal, and every retrieval is logged.

The website is served over TLS. Form submissions are transmitted encrypted. Staff receive confidentiality training and are bound by written obligations that survive their employment.

No system is perfect. If a breach affects your personal information, we will notify you and the relevant authorities within the timeframes the law requires, and we will tell you what was exposed rather than issue a generic notice.

5. Access credentials specifically

Because this is the most sensitive category we hold, it is governed separately. Credentials are collected only after an agreement is signed, held only for the duration of that agreement, never transmitted by unencrypted email or text message, never shared with contractors, and purged on termination — confirmed to you in writing. We will always recommend you change codes when service ends, whatever we have purged.

6. Your rights

You may request a copy of the information we hold about you; correction of anything inaccurate; deletion, subject to records we are legally required to retain; a copy of your data in a portable format; and withdrawal of consent to non-essential communications at any time.

Write to info@hudsonguardian.com or call (929) 994-0700. We respond within thirty days. Residents of states with applicable privacy legislation, including New York and Connecticut, retain all statutory rights available to them, and we will not discriminate against you for exercising any of them.

7. Cookies and analytics

This site uses only what it needs. Essential cookies keep the site functioning and secure. Analytics, where enabled, tell us which pages are read and where visitors arrive from, in aggregate.

Google reCAPTCHA runs on the booking form to block automated submissions; its use is subject to Google’s own privacy policy and terms. You can block or delete cookies in your browser settings, and the site will continue to work, though the booking form requires reCAPTCHA to submit.

We do not run advertising cookies and we do not sell audience data.

8. Retention

Client records and inspection history are retained for seven years after the end of the relationship, to meet tax, insurance and liability requirements. Access credentials are purged at termination. Enquiries that do not become clients are retained for two years. Website technical logs are retained for twelve months.

9. Changes and contact

Material changes to this policy will be posted here with a revised date, and active clients will be notified directly. Continued use of the service after that date constitutes acceptance.
